Tailor-made Booking Support Manager

This newly created position is designed to take on the responsibility for all of our tailor-made tours prior to travel. The purpose of this position is to focus on creating experiences beyond our clients' expectations; the job itself will be to coordinate and monitor administration staff to ensure that all services are confirmed timeously and submitted correctly for payments, and also to work closely with staff to ensure that margins, rates, seasonal changes, and all other details are correct and managed. Accuracy, attention to detail, systems-knowledge and problem-solving are all important aspects of this role; managing all confirmed bookings and any technical issues will be daily priorities. · Itinerary accuracy – ensuring client expectations are matched · Overseeing systems/content – ensuring itineraries are well-written, informative, and links correctly with the right supplier information · Operational detail – handling on-the-road issues and actioning quick and creative problem-solving to avoid and alleviate any potential problems that may arise on tours (in conjunction with consultants) · Weekly Tailor-made training on new products that work well with current booking trends. Working closely with sales, marketing, and product teams to identify these trends and train the Tailor-made team

Required Qualifications

o Tertiary-Level Qualification (Tourism Management, Business Administration or other related field); o A minimum of 5 years’ experience in FIT travel working with sales, reservations, suppliers, invoicing, etc.; o Leadership skills to motivate a small team of admin staff; o Excellent administrative & organizational skills, ability to multi-task; o Very strong organizational skills, time management + pro-active approach to work; o Excellent communication in English, both written and verbal; o Good understanding of tour operations in Southern Africa, including good destination knowledge; o High level of computer proficiency and MS Office packages; o Ability to meet deadlines & work under pressure, especially good crisis resolution; o Strong numerical ability and attention to detail; o Must be able to work long hours at times and take emergency calls during our busy season; o Personal travel experience in Southern Africa is an advantage; o Tour Plan knowledge and experience is desirable.
